How to manage Ad Hoc Visits in MP-Web Monitoring Schedules

Introduction

Sampling events do not always fall within a repeatable schedule. They are sometimes unplanned or one-off. These events still need to be tracked to ensure that the samples/readings have been taken and that subsequently, the data has arrived in MonitorPro. Ad-Hoc visits are designed for this purpose.

Setup of the Monitoring Schedule Template

The setup and configuration are the same as for the Monitoring Schedules; however, the repeat frequency information is absent. Work through the tabs, adding the objects which need monitoring. Once finished, this Monitoring Schedule can be used as an ongoing template for expected monitoring, although there is no set frequency for when it should be conducted. 

Visits

From the Visit Records tab of an Ad hoc Monitoring Schedule, click on the Add Visit Record to create a new Ad Hoc Visit record for a given event. Ad hoc visits are limited to an expected Visit Window of a single day. 

From here, you can make any one-off changes; otherwise, the configuration will be inherited from the Monitoring Schedule as usual with a Visit. 

MP-Field

If using MP-Field, Ad hoc Schedules created this way will be accessible in MP-Field under 'Current Visits'. Download and enter data as usual.

Note

As an Ad hoc Visit is unique to a day, it will only be accessible for data entry on the specified date it was created for. 

Setup up in the field

In MP-Field, users have the option to access these same Ad hoc templates for creation in the field. 

First, select the Create Ad Hoc Visit Record and navigate to the template you wish to use. 

Choose the date, and then a Visit will be created for data entry.
